We are hiring for our Staffing Program Coordinator role! This individual plays a critical part in ensuring accurate, efficient, and policy-aligned firefighter staffing for the District. Serving as the primary administrator of the District’s staffing application (UKC TeleStaff Cloud), this position partners closely with Operations, Finance, and other internal stakeholders to support daily staffing, deployment configuration, reporting, and system integrity. The role combines technical system administration, analytical reporting, and cross-departmental coordination to translate operational needs, labor agreements, and policies into reliable staffing practices. Our ideal candidate brings a strong focus on data accuracy, process improvement, and customer support, and can translate technical knowledge into training materials and in-person training delivery.
Areas of responsibility for the Staffing Program Coordinator include:
STAFFING APPLICATION ADMINISTRATION & ACCESS:
- Serves as the primary administrator for District's staffing application.
- Implements and maintains business rules consistent with District policy, the firefighter collective bargaining agreement, and established procedures.
- Manages user access, security settings, and permissions to ensure proper alignment with operational needs and data protection requirements.
- Identifies opportunities for application improvements and makes recommendations for licensing requirements, configuration updates, and process efficiencies to enhance system reliability and performance.
- Serves as the liaison with the staffing application vendor and consultants involved.
STAFFING APPLICATION TRAINING:
- Develops training materials, delivers instruction to end users and individuals with specialized roles, and provides ongoing support to promote efficient, consistent application use.
- Troubleshoots system questions and escalates technical issues when necessary.
OPERATIONS STAFFING LIAISON:
- Serves as the primary liaison between Operations leadership and the staffing station to ensure consistent, accurate, and policy-aligned staffing practices.
- Communicates operational direction, staffing updates, and policy changes to staffing station personnel and provides clarification as needed.
- Collaborates with Operations chief officers to assess staffing needs, apply updates within the staffing application, and resolve questions related to business rules or deployment configurations.
- Provides ongoing support and information flow to ensure alignment between field staffing decisions and administrative direction.
INTERDEPARTMENTAL COORDINATION:
- Ensures data integrity by auditing TeleStaff outputs and coordinating with relevant departments when discrepancies are identified.
- Collaborates with departments to resolve discrepancies, correct errors, and maintain accurate work codes.
- Coordinates updates that impact payroll processing, budget tracking, and administrative reporting.
REPORTING:
- Prepares and presents routine and ad-hoc staffing reports using built-in reporting tools and external analytics platforms as assigned.
- Extracts information related to scheduling, staffing levels, vacancies, FTE utilization, temporary assignments, overtime, and related workforce indicators.
DEPLOYMENT DOCUMENTATION:
- Documents deployment staffing configurations and changes throughout the year.
- Maintains and annually updates the District's Standards of Cover based on operational adjustments, deployment impacts, and resource allocation.
EXPANDED DEPLOYMENT MANAGEMENT:
- Tracks, documents, and audits staffing-related data for expanded deployments, including mutual aid responses, conflagrations, and surge staffing.
- Ensures accuracy of records and provides detailed reports to Finance for reimbursement processes when applicable.
